Sabine Hospital and Research Centre is a forward-thinking, technologically advanced health care facility with a proven track record of successful programs in several vital medical specialties. These include Infertility, Assisted Reproductive Technology (ART), Obstetrics, Gynaecology, Neonatology, Paediatrics, General Surgery, and Genetics. Sabine is sited as a beacon of progressive medical services, with the most modern care in these disciplines-continuously developing clinical practices to meet growing and complicated needs of patients. The hospital capacity is for 200 beds. Facilities are spread across 12 different specialties. Doctors supporting medical teams at Sabine are 32 of highly trained and supported by 150 dedicated nursing and paramedical staff. With this robust team, Sabine caters to 150-200 patients every day in the different sections of the hospital while providing outpatient and inpatient health service delivery that is of the highest quality.
The challenge that Sabine Hospital faced was the proper integration of a full-fledged hospital management system that could complement its state-of-the-art clinical practices while modernizing its healthcare platform. Our goal at SMARTHMS was to assist Sabine in achieving these milestones through our SMART HMIS solution. Specifically, the hospital required a system that could facilitate full-spectrum integration-from lab and device integrations, in addition to migration of seven years of legacy clinical and non-clinical data. It was no small task because of the sheer volume of data and the precision required to ensure no operational disruptions. Also, the system should be scalable to grow with future expansions, and it should have a partner who is reliable and could provide consistent support in terms of quality.
The collaboration between SmartHMS and Sabine Hospital provided us with a golden opportunity, as a technology provider, to demonstrate the flexibility and domain-specific functionality of our SMART HMIS solution. Thus, the project highlighted the necessity of the installation of a health automation system that would not only cater to all its different requirements but was flexible enough to meet the specialized nature of Sabine's various departments, such as infertility treatments, IVF, and ICSI.
Quite pivotal to this implementation was the successful migration of seven years' legacy data in both clinical and non-clinical data without loss or corruption thereof. It was crucial that the continuity of care and operations at the hospital was ensured. With this goal in mind, we ensure seamless transition with SMART HMIS, and the hospital was not once rolled back to the previous system. The imported data was totally working, accommodating 800 outpatient visits every day, repeating again that the system was really very robust and able to handle high volume as well as mission-critical operations.
To get this new system successful, we conducted an all-comprehensive training process. Training included 24 doctors and 325 other employees in the hospital, such as nurses, paramedical professionals, and administrative personnel on effective use of SMARTHMIS. Detailed Training of All Hospital Staff We ensured that every hospital staff knew exactly how the new system works so they can effectively use its functions. Further, the trainings were user-friendly; this way, hospital staff could easily embrace the functionality of the system regarding patients' information management, appointment creation, or production of lab tests.
One of the major highlights about this project was how well SMART HMIS adhered to the unique operational procedures of Sabine. Being a hospital that majorly specializes in the treatment of infertility, IVF, and ICSI, Sabine required a system that could handle all sorts of intricacies involved in the fields. With the requirement in place, SMART HMIS was customized in handling the workflows relating to patient treatment regarding tracking lab results, patient records, and treatment cycles, streamlining the processes of the hospital. In addition, SMARTHMIS implementation lessened the workload of all departments, especially the laboratory department whose lab machine integration improved efficiency much more significantly. This was because results from lab machines could automatically be recorded into the hospital's database thus avoiding manual entry that actually leads to errors.
Mobile applications proved to be another success that was deployed on Android as well as iOS. For customer-facing needs and utility purposes at the hospital, the mobile app was developed. For the patient, this offered a more accessible manner to book appointments, view medical records, and interact with hospital staff members. For the hospital staff, real-time availability of patient data, better coordination, and time to reach conclusions facilitated speedy decision-making processes.
After go-live, our focus shifted to further developing the digital infrastructure at Sabine Hospital. After go-live, we successfully implemented an IP EMR system that gave one more layer of efficiency and digital capability to Sabine's operations. In this regard, implementation of the IP EMR helped the hospital in continuing electronic medical records of inpatients and streamlined patient care with accurate information always available on time.
A direct application of the current and future setting, the SMARTHMIS ecosystem at Sabine Hospital is geared for future growth, primarily with extension plans of its healthcare services to more branches within Kerala.
